The data we process
We process data when you provide it by email, through the first-visit form or through connected booking and membership systems. The first gym visit or group class form collects your first and last name, email address, selected session, optional marketing consent and the source of your website visit.
The personal training form collects your first and last name, email address, telephone number, selected goal, experience level, preferred training frequency and time, selected information about any injury or limitation, optional comments, and details of the consents given and the source of your visit.
Purpose and retention
We use the data to organise your free first visit, show the new visitor to the trainer in the selected session’s attendance list, respond to enquiries, prepare for an introductory personal training consultation, arrange membership and check whether an enquirer later becomes a member. We retain data about people who do not become members for up to 12 months after the last contact, unless legal obligations require longer retention.
Measuring sign-ups
We determine the number of sign-ups from successfully saved entries in our records. If you allow analytics, we add source, medium and campaign labels to your sign-up. These may come from a tagged link or a recognised external source of your visit. We use the labels stored in the tab for no longer than 30 minutes and remove them at the next check after expiry. Once you sign up, the retention rules described above apply. Without consent, the sign-up is saved without these labels; a missing source is not treated as proof of a direct visit. We do not send form data to Google Analytics or advertising platforms. You can change your consent in Cookie settings.
Information about an injury or limitation
We process information about an injury or limitation, and any related information in your comments, only with separate explicit consent. We use it solely to prepare a response, assess the suitability of an introductory consultation and plan any necessary adjustments. Athlete Gym does not provide medical diagnosis through this form. You can withdraw your consent at any time by contacting info@athletegym.si; withdrawal does not affect the lawfulness of processing before it was withdrawn.
Anonymous experience questionnaire
If you open /izkusnja directly, without the personal link from an email invitation, we save five ratings, optional comments and the submission time. We do not link responses to a name, email address, membership account or message recipient. Only an authorised administrator has access. To remain anonymous, do not include personal data in your comments. We do not publish responses or send them to Google; you can write a separate public Google review after submitting the form.
Cloudflare Turnstile protects the form. To limit abuse, we use separate short-lived counters with a daily changing hash of the network address; this identifier is not part of the response. The counters stop limiting submissions after 15 minutes, and records older than one day are removed when a new submission is next processed.
Personal invitation to rate your experience
If you open the same questionnaire through a personal email invitation, we link the five ratings, optional comments and submission time to your customer record. Only Athlete Gym administrators can access the data, which we use to improve the experience and track invitation responses. For an anonymous response, open athletegym.si/izkusnja directly in a new tab, without the personal email link.
For personal invitations, we track the planned sending date, delivery status and submission of a response. If you no longer want invitations, please write to info@athletegym.si. A Google review is a separate, voluntary public post: we do not publish your response on your behalf. We may record a click on the Google link, which does not in itself confirm that a review was submitted; an administrator may confirm publication after a manual check. Your personal link is valid for 90 days from the creation of the invitation.
Marketing messages
The ‘61 days of gym access for €45’ promotion form collects your first and last name, email address, sign-up source and separate consent details for this promotion and future promotions, together with the sign-up time and the consent text version. By clicking ‘Send me the offer’, you sign up to receive the offer and up to two email reminders for this promotion. Before sending, we check eligibility for the new-member offer in the 3Click records. Existing customers receive an informational reply. We stop reminders when a purchase is identified, you unsubscribe or the promotion ends.
We send future promotional offers only with separate, optional consent given by ticking the checkbox. This choice is not a condition of receiving the current offer or a free first visit. You can unsubscribe using the email link or by contacting info@athletegym.si. We retain the consent record until you withdraw consent, or for as long as necessary to demonstrate its validity.
External services
We process promotional sign-ups through a protected Cloudflare interface, store them in Supabase and send permitted emails through Resend. Cloudflare Turnstile protects the form against automated abuse.
Data from the free first visit and personal training forms is stored securely in the Supabase database, which acts as a contracted data processor for Athlete Gym. Personal training enquiries are also sent to Athlete Gym’s official email address through the email delivery provider Resend. Member booking and membership purchase links lead to separate systems with their own terms and privacy policies.
Your rights
You may request access to, correction or deletion of your data, or restriction of its processing. Send your request to info@athletegym.si. You also have the right to lodge a complaint with the Information Commissioner of the Republic of Slovenia.
